Executive Assistant

We are seeking an experienced assistant who will provide administrative support to our Chiefs (Chief Finance Officer, Chief People Officer, Chief Business Development Officer).


Your main responsibilities cover the following areas:

  • Managing Calendars and Scheduling Meetings
  • Administrative Support and Reporting
  • Coordinating Travel Arrangements
  • Facilitating Smooth Office Operations


1. Managing Calendars and Scheduling Meetings:
  • Schedule and organize internal and external meetings, coordinating availability among multiple parties and resolving scheduling conflicts.
  • Prioritize appointments and events based on urgency and importance.
  • Oversee the overall logistics of the meetings, including taking notes and arranging refreshments.


2. Administrative Support and Reporting
  • - Gather receipts, organize expenses, and prepare accurate expense reports for the Chiefs, ensuring compliance with company policies.
  • - Coordinate the document signing process, and ensure that all parties involved are aware of the signing process and timeline.
  • - Assist with preparing and formatting presentations.


3. Coordinating Travel Arrangements
  • Arrange flights, trains, and taxis for business trips and out-of-office meetings.
  • Arrange accommodations for executives during their travels, ensuring comfort and convenience.
  • Coordinate travel itineraries, including airport transfers, meal arrangements, and any special accommodations needed.


4. Facilitating Smooth Office Operations
  • Monitor office inventory and place orders for supplies, equipment, and other necessities to maintain a well-stocked and functional workplace.
  • Coordinate maintenance and repairs for office equipment and facilities.
  • Organize and coordinate events such as workshops, conferences, or team-building activities, from initial planning to execution.


Experience and Qualifications:

  • Minimum 2 years of experience in an executive assistant or similar administrative role
  • Fluency in both English and Czech (or Slovak)
  • Proficiency in Microsoft Office Suite
  • Exceptional organizational and multitasking abilities
  • Flexibility to adapt and prioritize tasks, with the capability to work independently
  • Discretion in handling confidential and sensitive information
  • Professional demeanor with a positive and proactive attitude
